Set up a site
Add a client's site with its address, map location and shifts, so guards can check in there by GPS or by the site's QR poster.
Who can do this: Administrators and operations
Before you start
A site belongs to a client, so add the client first from Clients. The dashboard’s setup list follows the same order: a client, a site, a contract, staff, app access and a published roster.
Add the site
- In the sidebar, open Sites and choose Add Site.
- Under Site details, name the site, pick its client and choose the service type. If your agency has branches, choose the branch.
- Under Location & geo-fence, enter the address and city. For the map location, open the site in Google Maps and paste the link from the address bar, or type the coordinates, such as 12.9716, 77.5946. A short maps.app.goo.gl link cannot be read: open it first and copy the full link.
- Set the geo-fence radius. It starts at 150 metres; a GPS check-in from outside it is refused.
- Under Staffing, set the planned headcount and the shifts. Day, evening and night shifts are filled in for you to change, and you can add staff to each.
- Under Check-in & contract, choose how guards may check in — geo-fence GPS, QR code or both — and enter the contract start and the monthly value. The monthly value is what this site is invoiced at.
- Choose Create site.
A site with no map location cannot take a GPS check-in. Guards there need the QR poster, or a supervisor to mark them.
Put up the check-in poster
- Open the site from Sites.
- In Staff check-in QR, choose Open printable poster and print it.
- Fix it where staff arrive. Guards scan it, or type the code printed on it, to check in.
If the panel says QR check-in is switched off, choose Edit site and turn on QR under Allowed check-in methods.
Next
Give the site’s staff the Workforce app, then roster them from Shifts & Roster and publish it. Guards see only published shifts.
